AI Use Policy

1.Purpose
Well-Aligned Strategies ("the Company") is committed to delivering high-quality, original work to our clients while responsibly leveraging technology that improves our efficiency and accuracy. This policy establishes clear guidelines for the appropriate use of Artificial Intelligence (AI) tools by all staff, contractors, and representatives of the Company in connection with client and internal projects.
2.Scope
This policy applies to all employees, contractors and subcontractors of Well-Aligned Strategies who use AI tools in any capacity related to Company business, including but not limited to research, writing, editing, analysis and administrative work.
3.Responsible Use of AI
Well-Aligned Strategies reserves the right to use AI programs responsibly and as necessary to support various contract projects. AI tools may be used to enhance efficiency, accuracy and quality of work, provided their use aligns with this policy and any applicable client agreements. This includes the use of AI to support formatting of documents and deliverables, such as layout, styling and organization of content.
Well-Aligned Strategies staff will adhere to clients' AI policies where applicable. Such requirements should be outlined in the project Statement of Work (SOW).
4.Disclosure
The Company will disclose any substantial use of AI in the completion of client deliverables. "Substantial use" refers to instances where AI materially contributes to the substance, structure or content of a final work product, as distinct from minor supportive uses such as fact-checking or proofreading (see Section 6). Clients may request additional details about how AI was used on their project.
5.Confidentiality and Data Protection
Staff will not input, share, or upload any proprietary, confidential or sensitive information into AI tools. This includes:
- Client data, business information or trade secrets provided for the scope of a project
- Original work product, strategies or materials created by Well-Aligned Strategies on behalf of a client
- Any other information subject to a confidentiality agreement, contract or reasonable expectation of privacy
Staff must exercise judgment to ensure no protected information is exposed to third-party AI platforms, whether through direct input, file uploads or connected tools.
6.Copywriting and Original Content
Copywriting is a core asset and service of Well-Aligned Strategies. As such:
- Staff will not use AI to generate wholesale copy, drafts or finished creative content on behalf of clients.
- AI may be used in a supporting capacity, including to:
- Fact-check information and verify details,
- Review and check completed work for errors or inconsistencies,
- Assist with phrasing, wording or language refinement, and
- Confirm accuracy of claims, statistics or references.
All final copywriting deliverables must reflect the original thinking, voice and craftsmanship of Well-Aligned Strategies staff.
7.Staff Training and Prompt Practices
Staff are trained to write specific, limiting and effective AI prompts, and to audit and review AI outputs effectively. This ensures that:
- AI outputs remain narrowly scoped to the intended supporting task.
- Sensitive or proprietary information is not inadvertently included in prompts.
- AI is used as a tool to support human judgment, not replace it.
- AI-generated or AI-assisted content is carefully audited and reviewed by staff for accuracy, quality and appropriateness before use.
8.Accountability
All staff remain fully responsible for the accuracy, quality and originality of work product, regardless of whether AI tools were used in a supporting role. Use of AI does not diminish an individual's responsibility for the final deliverable.
9.Policy Review
This policy will be reviewed periodically and updated as AI technology, client expectations and best practices evolve.
